Getting Started
Create your account
Register with your business name, website, and contact details. You'll get a 7-day free trial with full feature access - no card required.
Set up your chatbot
Point it at your website so it learns your business, write a welcome message, set your hours, and pick your colours in Chat Settings.
Go live
Copy your embed snippet and paste it into your website. Works on WordPress, Shopify, Wix, Squarespace, or hand-built HTML.
Your Dashboard, Tab by Tab
Overview+
Your at-a-glance summary: whether your chatbot is currently connected to your live website, a health score, and three interactive charts - messages this week, ticket status breakdown, and conversation depth (how far visitors typically get into a conversation).
Chat Settings+
The control centre for your chatbot: welcome message, business hours & away mode, learning from your website, FAQs, quick reply buttons, and your embed snippet all live here.
Messages & Logs+
Every conversation your chatbot has had, most recent first. Click any row to open the full transcript, the visitor's contact details if known, and - for flagged conversations - exactly why it was flagged.
Support Tickets+
Every ticket a visitor has raised. Update status and priority from the dropdowns, or delete a ticket entirely. See the "Support Tickets" section below for how statuses work.
Leads Growth & Pro+
Anyone who shared an email or phone number, or asked a buying-intent question (pricing, booking, demo), gets logged here automatically - with an instant email alert to you.
Appearance+
Your colours, avatar images, launcher position (bottom-left or bottom-right), and window size. Images upload directly - no external media library involved, so this stays fast regardless of how many businesses are on the platform.
Analytics Pro+
Deeper usage statistics beyond the Overview tab - monthly usage against your plan's limit, and more detailed breakdowns for businesses that want to dig further.
AI-powered business insights: a short, specific set of recommendations generated from your own chatbot's real activity - what visitors are actually asking about, how sentiment's trending, where leads are converting - not generic advice. It's grounded in your own numbers, and says so plainly if there isn't yet enough activity to say something useful. Refreshed once every 24 hours rather than on every visit, to keep it fast and cost-effective.
Account & Subscription+
Your profile details, current plan, billing history with downloadable PDF invoices, and where you upgrade, downgrade, or cancel.
Customizing Your Chatbot
Welcome message+
The first thing a visitor sees when they open your chatbot. Write it in your own voice - but note that the chat window always shows "AI Assistant" in its header too, separately from whatever you write here. That's intentional and can't be turned off: it's there so visitors always know they're talking to AI, regardless of how you've worded your own welcome message.
Business hours & away mode+
Set your real opening hours. Outside them, visitors automatically get your configured away message instead of your chatbot pretending you're open.
Learn from your website Growth & Pro+
Enter your website address and your chatbot reads your pages - preferring your sitemap where one exists - so it can answer with your actual services, policies, and tone instead of generic responses. Once you've used this, it automatically refreshes itself weekly, so it stays current without you doing anything.
FAQs+
Add specific questions and answers you want your chatbot to always get exactly right, regardless of what it might otherwise infer from your website content.
Quick replies+
Suggested buttons a visitor can tap instead of typing - handy for the questions you know most people ask.
Quick links+
Give your chatbot a set of "Keyword | URL" pairs - Contact Form, Sign Up, Pricing, whatever's relevant to your business. When a reply happens to mention that exact phrase, it becomes a clickable link straight to that page instead of plain text.
Your chatbot only ever links to a URL you've typed in yourself - it never invents a link on its own, so there's no risk of it guessing wrong and pointing somewhere broken.
Hiding the chatbot on specific pages+
Add page paths you don't want the chat bubble to appear on - a checkout page, a printable invoice view, wherever it'd be in the way. One path per line, like /checkout. Add a * to the end to cover a whole section at once, like /account/* for every page under /account.
Embedding on Your Website
Getting your snippet+
Go to Chat Settings → "Embed On Your Website" and copy the code shown there. It's unique to your business - don't share it, and don't reuse another business's snippet.
Where to paste it+
Just before the closing </body> tag of your website - most platforms (WordPress, Shopify, Wix, Squarespace) have a "custom code" or "footer scripts" area for exactly this. No plugin installation needed on your own site.
Confirming it's connected+
The Connection status badge on your Overview tab shows Connected once your chatbot has actually loaded on your live website - not just from viewing your own dashboard. Give it a moment after adding the snippet, then visit your site to trigger the first check.
Understanding Conversations
Reading a transcript+
Click any conversation in Messages & Logs to see the full back-and-forth, the visitor's contact details if known, and their IP address.
Saving conversations+
"Save Messages" in Chat Settings controls whether a conversation is stored at all. It's worth knowing this switches off more than storage: with it off, visitors also lose the ability to rate a reply, since there's no saved message for a rating to attach to. If ratings or conversation history seem to have stopped working, this is the first thing to check.
Visitor ratings & feedback+
Visitors can rate any bot reply with a thumbs up or down, right underneath the message. Either one opens a small optional comment box, so you get context beyond just the rating itself - both show up alongside that message in the full transcript.
🚨 Flagged conversations Growth & Pro+
A conversation gets flagged High priority automatically when a visitor sounds frustrated, or explicitly asks to speak with a real person. Click in to see exactly why it was flagged, alongside the full transcript.
Leads Growth & Pro
What counts as a lead+
The moment a visitor shares an email or phone number, or asks something with clear buying intent - pricing, booking a call, requesting a demo - they're logged as a lead, and you get an email immediately. No waiting for a weekly report.
Support Tickets
Ticket statuses+
Four statuses: Open, In Progress, Pending, and Closed. Change them from the dropdown in your Support Tickets tab.
Auto-close+
Any ticket left inactive for 30 days closes automatically, so your ticket list doesn't accumulate stale entries forever.
Keeping customers updated+
Customers can check their own ticket's status anytime by typing the ticket number into your chatbot. They're also emailed automatically whenever a ticket's status changes (except when it's first opened, since they already know that).

What happens near your message limit+
You'll get a warning email at 80% usage, and another if you reach your limit. There's also a small grace buffer beyond your stated limit before anything actually stops - so a conversation in progress is never cut off right at the boundary.
Changing plans+
Upgrade, downgrade, or switch between monthly and yearly billing anytime from Account & Subscription. No lock-in.
FAQ
Do I need to know how to code?+
No. If you can copy and paste, you can set this up - the embed step is one snippet pasted into your site, the same way you'd add any tracking code.
Can visitors tell it's AI?+
Yes, always - "AI Assistant" is shown persistently in the chat header, visible before a visitor even sends a message. This can't be turned off; it's built in by design, not something you configure.
Can a real person take over a live chat?+
Yes - a business owner can reply directly from their dashboard, and it appears right in the same chat window the visitor is using. It isn't instant like a phone call: the visitor's widget checks for a reply roughly every 15 seconds while it's open, so a reply typically shows up within about that long if someone's available. If nobody's able to reply right away, the visitor is told as much and can keep chatting with the AI in the meantime - worth setting that expectation with your own customers if you mention this feature to them.
What if I run out of messages mid-month?+
You'll have had two warning emails already by that point. Once the grace buffer is used up too, visitors get a warm fallback message inviting them to leave their details, rather than a dead end.
Starting a Conversation
Where do I find it?+
Look for a round chat bubble in the bottom corner of the website you're visiting. Tap or click it to open the chat window.
What You Can Ask
Is there anything it can't help with?+
Ask about the business's hours, services, pricing, or policies - it's been trained on that specific business's own website, so its answers should reflect their actual information, not generic scripts. If it genuinely can't answer something, it'll offer to raise a support ticket instead.
Extra ways it can help+
- Follow-up suggestions - a reply sometimes comes with a few tappable follow-up questions, so you don't have to think of what to ask next.
- Source tags - a small note under a reply, like "From our FAQ" or "Based on our business info", shows you where that specific answer came from.
- Attachments - you can attach an image or a PDF (up to 5MB) using the attachment icon by the message box, if you need to show or send something.
- Rating a reply - tap the thumbs up or down under any bot message to say whether it actually helped. You can add a short comment too, which the business sees directly.
Talking to a Real Person
How do I reach someone directly?+
Look for "Need to talk to a real person?" near the message box. Tap it, and the business will be notified right away.
Checking a Support Ticket
I have a ticket number — now what?+
Type it directly into the chat, anytime - it looks something like TKT-20260101-ABC123. You'll get its current status instantly, even outside the business's normal hours.
Is It Really AI?
How do I know I'm not talking to a human?+
Every Kassa chatbot clearly shows "AI Assistant" in its header, visible the moment you open it - before you've even typed anything. It's never allowed to pretend to be a person.
Your Privacy
What happens to what I type?+
Your conversation is stored by the business you're chatting with, so they can follow up and keep improving their chatbot's answers. Each business is responsible for how they handle that data - check their own Privacy Policy for specifics on retention and your rights.
